What is a Bill Batch?

Anytime you wish to invoice your clients for the hours you and/or your workers have worked, you will first need to create a bill batch. A bill batch is a way to mark the records you want to bill. This way you can view breakdowns of clients and workers, as well as overall totals. But more importantly, you mark the records so they don’t get billed twice.

Why can’t you just immediately invoice all the hours? The reason is that many administrators do not wish to invoice every hour entered into the system. To see examples of these scenarios, view the sample scenarios in the Overview of the Billing & Invoice Process section.

The way you batch records is completely up to you. You can group certain clients together and batch them, such as local clients versus out of state clients, or larger clients versus smaller clients. You can also create billing cycles so if you have too many clients to handle invoicing at once, you can batch clients whose names start from A to G for one day, H – O the next day, etc. Additionally some clients might have specific requirements of when they want to be invoiced. You might have a group of clients who insist on being invoiced on a monthly basis, so you could create a special batch for them once a month.
